Hi Folks,

A major enhancement will be rolling out this week (Wednesday) related to managing your roster pages. We have had many request to improve what information was available on roster pages and how it was presented, so here you go. Below is a list of the new features and options that will be available. I'll post a link to the help documents this week, but here are the list of changes for you.

  1. Photos on roster pages can now be pulled from the users's profile.
  2. You can change the default image on the roster page when no image is present.
  3. DOB and gender can be input on the profile page and then shown on the roster page if desired
  4. Roster listing page can be grouped by status (active, inactive and disabled)
  5. Inactive roster players can show a reason why they are inactive
  6. You are no longer limited to a select set of custom fields; you can now create your own custom roster data in the Admin Control Panel under Content Templates.
  7. When configuring season tool settings, the roster list can be fully customized to include or exclude (First Name, Last Name, Photo, Jersey #, Position, DOB, Gender, or any custom fields) columns
  8. Coaches can have their own custom columns on the coach's tab
  9. Coaches and rosters can now be manually sorted
  10. Rosters can be sorted by first name or last name (depending on the order the columns are ordered)
  11. Like team pages and division pages, you can now fully customize the roster page and create your own layout.
  12. You will be able to keep your team page public but make each tab (roster, stats, photos, etc) be private to only those rostered on the team and their parent profiles—COMING SOON.

I was excited to read that there were enhancements made to the rosters. I recently was asked to help out with setting up this site for a high school wrestling team. The configuration did not seem to allow some of the changes to fields I was hoping it would.  Jersey # and position do not mean much in wrestling.  I did find that I could add some additional fields but I actually was hoping to get rid these meaningless fields and potentially sort by the new fields.

It sounds like your enhancements might make the roster more useful.  I could not find the options you mentioned, could you tell me how to navigate to this or does our site need to get this update?

Hi Troy,

Glad to hear that the changes will be a benefit to you! You should see the updates roll out tomorrow. We did a last bit of testing and came across a couple minor adjustments that we wanted to get in place before rolling out this great new feature.

I'll post tomorrow when the update is in production.

Great!

I made a post in the general site, but figured you probably know the answer to this.

Is there any way to take registration data and map it to roster data?  If I ask in the registration for a grade, graduation year, or weight and I have those same fields in my roster can I have the roster get populated from the registration?

Hey Troy,

Two fields will be available in the profile that the roster player can manage. Those are DOB and Gender. This is just a start. Soon, your roster players should be able to update all of the roster data from their profile themselves. HOWEVER, this doesn't answer your question though.

The best way to do this is Mass Roster your players in Sport Management. Once that is done, you can download the rostered players and merge in any data from registration and upload it. Not ideal, but it gets the job done. 

Keep an eye out though and I'll post when you can have the roster players manage all that info themselves!

Rob,

Love the update to the roster capabilities, but I have some additional questions though.

We have 200+ photos loaded into the rosters from last season and want to use them this season as well.  I was hoping this update would allow us to migrate those photos over should we choose to.  The update only provides (so far as I can see) the ability to use the player's profile (account) photo for their roster photo.  Can we, or will we, have the ability to migrate the photo from the previous roster?  The reason I ask is that we may want to manage/monitor the photos that are used.  Last year we had one of our photographers take player headshots for the roster photos both for the website and for our team booklets.  The booklets are distributed at recruiting events so the last thing we would want to see is a college recruiter having interest in our of our players, seeing a great headshot in the booklet and then when they go to our website seeing something goofy or inappropriate for recruiting purposes.  You already have the images tied to a player and I can even "connect" the same player from a previous season.  Once the players roster profiles are connected you would think the photo would carry over.

Player data fields... why doesn't information from the registrations carry over to the roster pages?  For example, we ask a series of questions when the player registers for something, but none of that information migrates over when we are rostering the girls.  Is there an easier way to enter all that information?

Thanks for the feedback. I took a quick look at your site (xcaliburfieldhockey.com) for the 2014 season—looking good! Totally understand your question regarding moving photos from year to year. This is something we are looking to do in the future. Right now, however, it isn't part of the non-league version of Sitebuilder. 
 
  1. Regarding the photo that displays, it is done based on the following rules set. If you are using a custom template and a default image the order of appearance for the photos are
  2. Photo uploaded to the roster
  3. Photo uploaded to the profile
  4. Default photo set up in the template (team logo or girls silhouette, etc)
  5. Grey male silhouette
 
This allows you to have the professional one take precedent over something the player uploaded instead of whatever the athlete thought would be cute [smile] 
 
For registration data, syncing directly is a bit tricky since every organization collects different data differently. The easiest way today to get that reg data in is to use the import/export meta data option found under the seasons tab. This allows you to download all of the rostered players for a team and add the content into the XLS file and then re-import it. Not perfect but it does allow you to batch the data team by team. 
 
You may have also noticed that two new data fields appeared on the user profile. They are gender and DOB which can be used on the player profile page. You should see address information appear on that profile page appear in about a week or so so you can use that (or more likely) hometown on your player profile page. We are adding more info there so that player page can be controlled more and more by the athlete or the parent. After the location info, you will see all of the various fields you have on the roster player page appear so that they can be managed by the player or parent themself. This way the info will always be kept up to date. This should reduce the need to collect all of that info in registration every season.

OK.. glad to hear it's at least on the horizon for the non-league sites.

How about an easier ability to upload those photos?  Right now I have to do them one at a time... can take a but of time even for a small site like ours.



Any feedback on the player data question below?

Got it...

I will be attempting the player data import tonight.  I think that's the way my rep told me to do it for the time being.

I think keeping some info in the player profile is great.  The DOB and gender is a good start.  For us, we have a baseline of player data... school, grade, graduation year, jersey #, position, college committed, college interested.  Additional fields that we want to keep, but will probably hide would be GPA and SAT scores.  Essentially all the data we use in our booklets.

One more follow up for you before I go take on Saturday. The way the configurations are set up, you can collect whatever information you want and by using the custom profile layout, you can not show it on the player page. This way, if you want to track things like GPA or SAT and not show them publicly you can do that and still have all the data in one place.

How much of this stream is still current?

I am trying to Roster for the first time, and want to get rid of Jersey number etc. on the roster, and add custom variables from registration fields. Also want to update photos. 

How much is still applicable with the new changes that have been rolled out/ what is the best way to do this?
